Learn how to set up the DSS integration with Clio Grow
Your website is the entryway for all of your clients, so it only makes sense to give you a quick and easy way to move those clients into your case management software.
The Clio and DSS integration allows you to import all of your Clio contacts into DSS, and will automatically update DSS contact tags when you create a matter for your contact in Clio.
Don’t want to export ALL your contacts to DSS? No problem—you also have the option to prevent this automated sync, and manually export individual contacts from Clio to DSS.
If that is not enough, you can ALSO individually export contacts from DSS to Clio! No matter how you choose to use this integration, there’s an option to make everyone’s life a little easier! Learn about the different options and how to set up the integration below.
Import Contacts From Clio to DSS
To connect DSS to your Clio account, log into DSS and go to https://dss.fosterwebmarketing.com/tool/clio-settings.cfm.
You will see three tag options. Before you can connect to Clio, you must assign or add at least one Contact Tag and one Client Tag. These tags will be added to your DSS contacts records that are imported from Clio. General Tag will always stay on the contact record in DSS unless you remove it manually. Contact Tag is added to contacts or leads who have not yet become clients in Clio, and it’s removed when a matter is created for the contact in Clio. Client Tag is added to the DSS contact record when a matter is created, and it automatically replaces the Contact Tag. Once you select your tag(s), you will see the option to authorize the connection between DSS and Clio.
From here, you’ll be taken to a login screen for your Clio account. Once you’re logged in, you must select “Allow Access” to integrate with DSS. Clicking this button will bring you back to the Clio settings page in DSS.
Scroll to the bottom of the screen, and you will see a button to import your Clio contacts into DSS. After the initial import action, your Clio account will automatically synchronize and import your contacts into DSS every night. At any time, you may immediately sync your contacts by returning to this Clio settings page and using the “Import Clio Contacts Into DSS” button.
Push DSS Contacts to Clio
To push contacts from DSS to Clio, select the individual contact record in DSS and scroll down below “Custom Columns.” Here you will see a toggle switch to “Export to Clio” (for contacts that do not exist yet in Clio) or "Update Clio Data" (for contacts that already exist in Clio). Click this so you see a blue checkmark, and then hit “Save” in the top right corner.
DSS will never override information in Clio unless you tell it to “Update Clio Data.”
To Integrate With Clio, But Don’t Import All of Your Contacts into DSS
By default, setting up this integration will import your Clio contacts into DSS. However, if you want to be a bit more selective about the contacts that pass from Clio into DSS, you have the option to prevent contacts from being exported overnight.
Please Note: This option will change the default to NOT export your contacts to DSS, so you must individually update the option for any contact records you want to send to DSS.
In your Clio account, select “Settings” from the left sidebar. Select “Custom Fields,” and then “Custom Contact Fields.” Create a new Custom Contact Field that says, “Do Not Send Contact to DSS.” *It’s important that you create this Custom Field exactly as you see it typed here! Set this to default.
All of your contacts in Clio will now have this custom field, and will not be exported to DSS overnight.
To override this new default and export a contact to DSS, click “EDIT” on the contact in Clio, select “Custom Field,” and uncheck that box. This contact will now sync overnight, or you can import in DSS under Clio Settings by selecting “Import Clio Contacts into DSS.”
Clio Integration Tag Tips
You must assign at least one tag each to the Contact and Client Tag modules. This is the minimum requirement for Clio to properly authorize DSS to import contacts from your Clio account.
Contact Tags
Contact Tags are added to contacts or leads who have not yet become clients in Clio, and they are replaced when a matter is created for the contact in Clio. The idea is to easily sort and filter contacts vs. clients once your integration is set up.
Client Tags
Client Tags are added to existing client records in Clio that are imported into DSS. They also automatically replace the Contact Tag here in DSS when a matter is created for the contact in Clio.
General Tags Tip
General Tags will always stay on the contact record in DSS unless you remove them manually.
Optionally, General Tags can be assigned for easily tracking both Contact and Client contacts. You might choose to use this option to add a newsletter tag, identify contacts being imported from Clio, or start a campaign for these imported contacts.
All of these assigned tags will be added to your DSS contacts records that are imported from Clio.
Clio Grow Integration
Clio Grow is a newer Clio product and is not required to use the Clio Manage integration. These are two separate products, and the Clio Grow integration requires a different setup process. This integration provides functionality for exporting all new, incoming leads to Clio Grow. This only applies to leads, not contacts, and no options are available for exporting existing leads from DSS or importing existing leads from Clio Grow. To connect Clio Grow, log into your account, go to “Settings,” then “Integrations,” and scroll down to the Clio Grow Inbox. Click the blue Copy button to copy the Inbox Token to your clipboard, and paste it into this field in DSS.
Click “Register Clio Grow Inbox Token.” Once you have registered, all of your new DSS leads will automatically be pushed to Clio Grow from this point forward.
